HomeMy WebLinkAbout4.10 Construction Inspection Services CITY CLERK File # D[E[Q]C-~[(5 AGENDA STATEMENT CITY COUNCIL MEETING DATE: February 7,2006 SUBJECT: Amendment to Consulting Services Agreement with Associated Engineering Consultants, Inc., for Construction Inspection Services (Increase Not- To-Exceed) Report Prepared by: Mark Lander, City Engineer ATTACHMENTS: Resolution, together with Exhibit "A", Amendment RECOMMENDATION: ~ \ Adopt the resolution approving the amendment to the consultant services agreement with Associated Engineering Consultants, Inc., increasing the not-to-exceed amount from $82,000 to $123,000. FINANCIAL STATEMENT: Under this amendment to the agreement, Associated Engineering Consultants, Inc., will provide up to an additional 500 hours of construction inspection services through the end of Fiscal Year 2005-2006 (1,500 hours total this contract). At the contract hourly rate of $82.00 per hour, the increased amount needed is $41,000. Actual time spent on projects will be funded by individual Capital Improvement Program (CIP) projects (for which inspection time is budgeted with each individual project) or land development projects (which costs are reimbursable by the developer). DESCRIPTION: The City entered into an agreement with the engineering consulting firm of Associated Engineering Consultants, Inc., on August 2, 2005, to provide a temporary contract public works inspector. The contract provided for up to 1,000 hours of inspection time between August 2005 and June 2006 as it was anticipated that the majority of the time would be spent by December 2005, with some time remaining in 2006 for project closeout. In September 2005, one of the City's three Staff inspectors retired, which increased the workload for the remaining two Staff inspectors and the contract inspector. As a result, the 1,000 hours of inspection time under the contract were largely spent by the end of 2005. Because of continuing workload demands, and to allow the contract inspector time to close out several projects which are coming to completion in early COPY TO: Associated Engineering, Inc. The existing contract would be amended to increase the previous not-to-exceed amount from $82,000 to $123,000 (an increase of$41,000 at the specified contract hourly rate of$82 per hour). Staff recommends that the City Council adopt the Resolution approving the amendment to the consultant services agreement with Associated Engineering Consultants, Inc., increasing the not-to-exceed amount from $82,000 to $123,000. Page 2 of2 I of L RESOLUTION NO. - 06 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF DUBLIN ********* APPROVING AN AMENDMENT TO CONSULTING SERVICES AGREEMENT WITH ASSOCIATED ENGINEERING CONSULTANTS, INC., FOR CONSTRUCTION INSPECTION SERVICES FOR ADDITIONAL INSPECTION SERVICES IN THE AMOUNT OF $41,000 WHEREAS, Staff has determined the need to hire a civil engineering and construction management consultant to provide construction inspection services in order to supplement the City's existing Public Works Inspection Staff; and WHEREAS, said services are for construction inspection services associated with current land development and Capital Improvement Program projects; and WHEREAS, the City entered into a contract with the firm of Associated Engineering Consultants, Inc., on August 2, 2005, to provide construction inspection services for the 2005-06 Fiscal Year, in an amount not to exceed $82,000; and WHEREAS, ongoing construction work requires the need for additional construction inspection services above the amount allowed under the current contract; NOW, THEREFORE, BE IT RESOLVED that the City Council of the City of Dublin does hereby approve an amendment to the Consulting Services Agreement with Associated Engineering Consultants, Inc., to allow for additional construction inspection services in the amount of $41,000. BE IT FURTHER RESOLVED that the Mayor is authorized to execute the amendment in duplicate, attached hereto as Exhibit "A." PASSED, APPROVED AND ADOPTED this 7th day of February, 2006. AYES: NOES: ABSENT: ABSTAIN: Mayor ATTEST: City Clerk G:ICONSULTANTSIAEClaec resa, 2-07-06.dac Z of 2-- EXHIBIT "A" OF RESOLUTION _-06 AMENDMENT TO AGREEMENT BETWEEN CITY OF DUBLIN AND ASSOCIATED ENGINEERING CONSULTANTS, INC., FOR CONSTRUCTION INSPECTION SERVICES WHEREAS, the City of Dublin (hereinafter referred to as "CITY") and Associated Engineering Consultants, Inc. (hereinafter referred to as "CONSULTANT"), entered into a one-year agreement on August 2,2005, to provide construction inspection services to CITY; and WHEREAS, the term of the agreement set the payment at a not-to-exceed amount of $82,000; and WHEREAS, Consultant and the City of Dublin wish to amend said agreement to increase compensation allowed under the amendment il1 order to provide additional inspection services needed for the remainder of Fiscal Year 2005-06; NOW, THEREFORE, the parties hereto agree as follows: The total compensation allowed under the agreement shall be increased from $82,000 to $123,000, an increase of$41,000. All other terms of the agreement shall remain unchanged.
