Approve a Budget Change of $8,100 from Unappropriated . /, Reserve FINANCIAL STATEMENT: Available Construction Budget: $101,350 Low Bid Received: $ 99,500 DESCRIPTION: At the meeting of June 4, 2002 the City Council authorized Staff to solicit bids to complete the design and construction of the Murray School Bell Tower. On July 2, 2002 three bids were submitted. The bid results are as follows: 1) TGK Contracting - $99,500 2) N.V. Heathorn - $170,039 3) Pacific Coast Reconstruction and Building, Inc. - $191,700 Staff recommends adding a 10% contingency thus bringing the amount of funds needed to $109,450. The Fiscal Year 2002-2003 Budget includes $101,350 for construction of the project. An additional appropriation in the amount of $8,100 is needed to award the contract. The Fiscal Year 2002-2003 Budget anticipates receiving $30,000 in contributions towards the project. The Murray School Bell Tower Campaign has committed $25,000 for the project (Attachment 3). In addition, the GFWC Dublin/San Ramon Women's Club will contribute $3,000 (Attachment 4) for the purchase of the bell. Thus, there is a $2,000 shortfall in the revenue budgeted and the anticipated revenue. COPIES TO: TGK Contracting/Rotary Club/GFWC Dublin/San Ramon Women's Club ll~l~ ~l[ ITEM NO. Further, Staff recommends that the City Council approve the Budget Change Form in Attachment 2. Page 2 ~ff~ ~ A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF DUBLIN AWARDING CONTRACT NO. 02-07 TO TGK CONTRACTING TO COMPLETE THE DESIGN AND CONSTRUCTION OF MURRAY SCHOOL BELL TOWER WItEREAS, the 2002-2003 Capital Improvement program includes funding for the Murray School Bell Tower; and WHEREAS, the City sent out a bid packages to six construction firms and received three bids in response; and WHEREAS, TGK Contracting, prepared the lowest bid estimate and was determined to be qualified to do the work; and NOW, THEREFORE, BE IT RESOLVED that the City Council hereby approves the contract with TGK Contracting, for design and construction of the bell tower for Murray School. City Manager: Date: Signature Mayor: Date: Signature Posted By: Date: Signature formslbudgcbng ATTACHMENT 2 Dublin Rotary Club Old Hurray School Bell Tower Project July 9, 2002 Mr. Rich Ambrose, City Manager City of Dublin 100 Civic Plaza Dublin, CA 94568 Dear Rich, This is to confirm that the Dublin Rotary Club and the Dublin Historical Preservation Association will be able to donate $25,000 toward the cost of building the Bell Tower on the old Murray School. At last count, we had $22,240.00 and I feel certain Rotary and the DI-IPA will make up the difference. The Dublin Women's Club has committed to purchasing the bell. Originally, we had a Contractor's estimate to build the Bell Tower for $50,000.00 and we promised to raise one-half, if the City would agree to match it with $25,000.00. Now with the bid cost at $99,500.00, we hope the City will make up the difference and the Bell Tower will be installed this year. I know the citizens of DUblin will be proud to have the Old Murray School preserved in its original configuration and they will thank the Dublin City Council for completing this project.
