DESCRIPTION: On February 5, 2008 the City Council authorized Staff to issue a
purchase order for play equipment to Ross Recreation Equipment Company. At the same time, the City
Council authorized Staff to bid the installation project.
Subsequent to City Council's approval to procure the materials, Staff worked with the play equipment
representative in the preparation of plans and specifications for bidding purposes. In terms of the
playground surfacing, the engineered wood fiber surfacing is included as the base bid and poured-in-place
rubberized surfacing is the alternate. In addition, Staff evaluated whether a portion of the surfacing could
include an area designated for sand as part of the final design. Based on research, an area for sand is part
of the engineered wood fiber surfacing option. Sand is not included with the poured in place rubberized
surfacing option since it will deteriorate the surfacing.

After a three-week solicitation period, on June 4, 2008 the following bids were submitted:

Staff recommends that the City Council award the contract to M.A.K. Associates Incorporated including
the base bid with additive bid item #1. M.A.K. Associates Incorporated provided the lowest bid
responsive to the requirements of the bid documents. If contract is awarded project will commence in
early-July 2008.
RECOMMENDATION: Staff recommends that the City Council approve the resolution in
Attachment #1 awarding base bid with Alternate #1 to M.A.K. Associates Incorporated.

AWARDING CONTRACT NO. 08-08
STAGECOACH PARK PLAY AREA RENOVATION
TO
M.A.K. ASSOCIATES INCORPORATED
WHEREAS, the City of Dublin did, on June 4th 2008, publicly open, examine and declare all
sealed bids for doing the work described in the approved Plans and Specifications for Contract No. 08-08,
which Plans and Specifications are hereby expressly referred to for a description of said work and for all
particulars relative to the proceedings under the request for bids; and
WHEREAS, said bids were submitted to the City Engineer, who has reviewed the bids to
determine the lowest bid which was responsive to the requirements of the bid documents.
NOW, THEREFORE, BE IT RESOLVED that the City Council of the City of Dublin does
hereby award Contract No. 08-08 to the lowest responsible bidder therefor, to wit, M.A.K. Associates
Incorporated, at a base bid of thirty-three thousand and sixty dollars ($33,060) and alternate #1 at sixty
thousand and eight hundred dollars ($60,800) the particulars of which bid are on file in the office of the
City Engineer.
PASSED, APPROVED AND ADOPTED, this 1 ih day of June 2008.
