Home My WebLink About4.17 Civic Ctr Furniture II 3 50- 2{) CITY OF DUBLIN AGENDA STATEMENT CITY COUNCIL MEETING DATE: April 10, 1989 SUBJECT Authorization to Solicit Bids for Civic Center Furnishings EXHIBITS ATTACHED Outline Specifications for the Furniture and Furnishings Bid (A complete bid package will be available at the City Council meeting for Council review. ) RECOMMENDATION ~U@ Authorize Staff to solicit bids on furnishings FINANCIAL STATEMENT: The estimated cost based on a preliminary estimate completed by the Interior Designer is $300,000 to $340,000. Adequate funds are included in the Civic Center Project Furnishings and Equipment Budget. DESCRIPTION As part of the preparation for moving to the Civic Center, it will be necessary to acquire additional furniture. The City Staff and Architect have been working with the Interior Design Firm of Clarke Design Group to specify furnishings for the new Civic Center Complex. It is the City's intent to continue to utilize all of the furni ture which the City currently owns. A majority of the furnishings required for the Civic Center are tables and chairs for some of the public areas such as conference and meeting rooms. In order to specify the furnishings, Ms. Julie Clarke of Clarke Design Group has met with the Civic Center Advisory Committee. The specifications will include a grade of fabric for seating and options will be available at the time the order is actually placed as far as actual colors. The Architect and Interior Designer have worked to prepare a color pallete which they feel would be acceptable for the project. Individuals will have the opportunity to choose from a limited range of colors provided by the Designers. The Architect will have sample color boards available, should the Councilmembers wish to review the proposed color scheme. In addition to seating and tables for public meeting rooms, the bid specifications will also include furnishings for reception areas, lunchrooms, and the Police roll call/training room. A minimal number of enclosed offices will require furnishings, in that the City currently has adequate furniture to furnish most offices. It is not the intent to purchase furniture for all of the enclosed offices. Those offices which will not be occupied will remain vacant and furniture will only be purchased as the City adds personnel. The Design Firm is also working to specify the office partition system for those areas where an open office area exists. The budget estimate has been based upon discounted list pricing. Given that the order will be of a considerable size, Staff is hopeful that a ....colUpetitive price will be. obtained. The bidders will also"be requested to submit a unit price for individual items, in the event that the review of current furniture indicates a need to purchase additional items. This will allow the City to obtain additional items at a competitive rate. Staff requests that the City Council authorize the solicitation of bids for furniture for the Dublin Civic Center Project.
