Budget for Shannon Center Furniture/Bquipment $ 527,960

DESCRIPTION: The Fiscal Year 2008-2009 Capital Improvement Program Budget
includes funds to purchase and install audio visual equipment for the new Shannon Community Center. The
Shannon Community Center Audio Visual Systems Request for Proposals included; built-in public
address system and video projection system for Ambrose Hall; audio equipment for the pre-function area
adjacent to Ambrose Hall; and, built-in classroom presentation equipment.
Staff issued the Notice to Bidders and RFP on September 26, 2008 and posted public notices in the Valley
Times. After atwo-week solicitation period, on October 10, 2008 one bid was submitted by PDC, Inc. in
the amount of $96,593.
The estimated costs for the audio visual systems were incorporated in the budget for the Shannon
Community Center project. Staff recommends adding a ten percent contingency to the audio visual
systems project for a total estimated cost of $106,252.
Staff has reviewed the bid proposals and confirmed the low bidder's references. Staff recommends
awarding the contract to PCD, Inc. If the contract is awarded the project will commence immediately and
finish by December 2008.
It should be noted that after adding this contract and the furnishings contract, the balance available in the
Shannon Community Center Furniture and Equipment Budget of $146,618 is earmarked for other

furnishings and equipment such as custom wood furniture for the common areas, which will be made
from wood salvaged from the original Shannon Community Center. Other equipment will include
telephone and computer networking equipment, and security. While a formal competitive bidding process
is not required for these purchases, the equipment will be procured under the procedures of the City
Purchasing Ordinance.
RECOMMENDATION: Staff recommends the City Council adopt the Resolution awarding Contract
08-15 to PCD, Inc.

A RESOLUTION OF THE CITY COUNCIL
OF THE CITY OF DUBLIN
AWARDING CONTRACT NO. OS-15
SHANNON COMMUNITY CENTER AUDIO VISUAL SYSTEMS
TO
PCD, INC.
WHEREAS, the City of Dublin did, on October 10, 2008, publicly open, examine and declare all
sealed bids for doing the work described in the approved Plans and Specifications for Contract No. 08-15,
which Plans and Specifications are hereby expressly referred to for a description of said work and for all
particulars relative to the proceedings under the request for bids; and
WHEREAS, said bids were submitted to the City Clerk, and the bids were reviewed to determine
the lowest bid which was responsive to the requirements of the bid documents.
NOW, THEREFORE, BE IT RESOLVED that the City Council of the City of Dublin does
hereby award Contract No. 08-15 to the lowest responsible bidder therefor, to wit, PCD, Inc., at a base bid
of Ninety Six Thousand Five Hundred Ninety Three dollars ($96,593) the particulars of which bid are on
file in the office of the City Engineer.
