Wood, Alameda County Librarian RECOMMENDATION: ~,~, Consider Request FINANCIAL STATEMENT: None DESCRIPTION: Correspondence has been received from Alameda County Librarian Linda Wood on behalf of the County Library Foundation (Attachment 1). The Library Foundation would like to hold a Gala Preview Party in the new Dublin Library several days prior to the Grand Opening Celebration. As proposed by the Foundation Board Members, the Preview Party would be an o[portunity to honor the City Council for their leadership and financial support for the new library building. Additionally the Party would be an opportunity to raise funds for programs and services at the Dublin Library. The event will feature a silent auction, soft music, wine and hors d'oeuvres stations throughout the Library, and offer guests a chance to learn about the services the new Library has to offer. The event would be open to the public. At this time, there is not a date for the Preview Party but it is anticipated to be in January 2003 upon completion of the Dublin Library; the specific date and time will be determined when the actual opening date of the Library is established. It is the recommendation of Staff that the City Council consider the request of the County Library Foundation. If the Council is supportive of the request, the Foundation invites City representation on the Planning Committee. City Staff would serve as a liaison to the Committee to deal with logistics. Staff recommends that the Council determine whether a representative of the City Council should serve on the Committee. The idea for a Preview Party was suggested by Paul Moffatt, one of our two Dublin members of the County Library Foundation's Board of Directors. It was endorsed enthusiastically by Dr. Ted Woy, also of Dublin, and the other Foundation Board members. The Foundation Board members thought a Preview Party would be a great opportunity to honor the City Council who have provided the leadership and all of the financial support for the new library building. Their commitment deserves recognition and appreciation, as does the long-term support of the Dublin Friends of the Library. Such an event would also provide an opportunity for those who wish to contribute to enhanced services in the new building to do so. I have enclosed a chart which compares the proposed Preview Party with the Grand Opening Celebration, so that it will be clear to all concerned what the differences between these two events are. As you know, we have offered to work closely with you and your staff on planning and carrying out the Grand Opening Celebration, which is the occasion when the public will be introduced to their new Library, and when everyone who has worked on the project will be acknowledged and thanked. Our Foundation Director Lara Shuttleworth is an experienced event planner who will make sure that the proposed Preview Party will be a first-class event.
