SUBJECT: Acceptance of Work — Contract No. 11-04, Street Light Pole Painting Contract

EXECUTIVE SUMMARY:
On April 19, 2011, the City Council awarded Contract No. 11-04, Dublin Ranch Street Light Pole
Painting Contract (CIP No. 960023), to Color New Company. The project was for the painting of
decorative street light poles in the Dublin Ranch Street Lighting Assessment District (99-1).
FINANCIAL IMPACT:
The adopted Fiscal Year 2010-2011 total appropriations for this project were $113,150,
including design and inspection. Of this amount, $9,000 has been allocated for design and
inspection, $200 for miscellaneous, and $103,950 for improvements (see below) to be
completed under this Contract. The total estimated contract cost including contingency when
the bid was awarded on April 19, 2011 was $33,434.50. The final (actual) costs for the contract
are within the allocated budget.

Staff recommends that the City Council accept the improvements under Contract No. 11-04,
Dublin Ranch Street Light Pole Painting Contract, and authorize the release of retention after 35
days.

DESCRIPTION:
The Dublin Ranch Street Light Pole Painting contract consists of painting the 188 decorative
street light poles and fixtures in the Dublin Ranch Street Lighting Assessment District (99-1).
The paint on the decorative street light poles and fi~ures has an expected lifespan of ten (10)
years. Street light poles that approach the ten (10) year lifespan are painted and funded
through revenue collected through the assessment district fees.
The Street Light Pole Painting Contract included street lights located on the following streets, as
shown on the Location Map (Attachment 1):

There were 188 street light poles and fixtures that were painted under this year's contract. Staff
has reviewed the work performed under this contract and has determined that the work is
satisfactory and complete.
The total contract cost was significantly lower than budgeted, as the budget for improvements
were based on the estimated unit costs that staff received prior to project development. This
was a new improvement project, and staff had minimal information of the unit cost of this type of
vrrork to be performed by a contractor. This year's costs will give Staff a baseline from which to
develop more accurate estimates for next year's painting project.
NOTICING REQUIREMENTS/PUBLIC OUTREACH:
Public Noticing is not required. A copy of the Staff Report was provided to the contractor.
