Acceptance of Gift from Sprint/Nextel

EXECUTIVE SUMMARY:
The City Council will consider the acceptance of the donation of 50 Motorola i576 push-to-talk
cellular phones from Sprint/Nextel for use in the City's disaster preparedness efforts.
FINANCIAL IMPACT:
The total value of the gift is approximately $8,900.
RECOMMENDATION:
Staff recommends that the City Council accept the gift.

DESCRIPTION:
The City of Dublin has received a donation of 50 Motorola i576 cellular phones with direct push-
to-talk technology from Sprint/Nextel, with the total value of approximately $8,900. These
phones are being provided to the City for use in the City's disaster preparedness efforts to
create an additional/redundant communication system. The phones are cellular capable but also
possess apush-to-talk direct connect radio technology with a radius of approximately three
miles; thus, these phones will provide the City with additional radios for communication
throughout the City, or allow the City to create a communication path for any scenarios that
might require their usage during an emergency event. For example, the phones could be used
by shelter managers to communicate with the Emergency Operations Center. While the phones
are being provided at no charge to the City without any activation fees, the City will pay for any
usage at a rate of $0.06 per minute, but these phones would only be employed in situations
where their usage provides the City with either an immediate advantage over free/cheaper
communication methods or where other communication options are not available.

As per Government Code Section 37354 it is recommended that all gifts and contributions be
formally accepted by the City Council. Therefore, Staff recommends that the City Council accept
the gift from the Sprint/Nextel and direct Staff to prepare a formal acknowledgement.
