SUBJECT: Acceptance of grant from the Tri-Valley Community Foundation

RECOMMENDATION: 1. Accept the grant from the Tri-Valley Community
Foundation in the amount of $5,000
2. Accept and direct staff to execute Conditions/Restrictions

3. Approve Budget Change
4. Direct staff to prepare formal acknowledgement to donor.
FINANCIAL STATEMENT: Acceptance of this grant in amount of $5000 will make
funding available for printing of the Crime Prevention Parent
Resource Handbooks.
DESCRIPTION:
The Tri-Valley Community Foundation has donated $5,000 to Dublin Police Services for printing of
Parent Resource Handbooks.
Dublin Police Services Crime Prevention staff has developed and produced a 96-page handbook that
includes information for parents and their children regarding the dangers and warning signs of
drug/narcotic use. The handbook also discusses various topics including anger among the teen
population, eating disorders, and teen dating violence, information designed to assist parents guide their
children to a safe and healthy adulthood. The funds will allow the printing of seven-hundred fifty (750)
handbooks.
Staff recommends that the City Council accept the $5,000.00 grant, accept and direct Staff to execute the
Grant Terms/Conditions/Restrictions Agreement, approve the Budget Change, and direct staff to formally
acknowledge the donor, and obtain printing services to print seven hundred fifty (750) handbooks.

Grant Terms/Conditions/Restrictions Agreement

GRANT AMOUNT AWARDED $5,000 GRANT PERIOD: Fall 2002
GRANT PURPOSE printing of Parent Resource Handbooks
GRANT CONTINGENCIES:
GRANT TERMS/CONDITIONS/RESTRICTIONS:
1. If you do not expend the funds for the purpose for which they were granted, the entire amount must be
returned to us. (You may not substitute another project.) However, if $50.00 or less is left over upon
completion of your project, it need not be returned.
2. A grant funding cycle runs for one year. It is expected your grant will be spent within that period of time.
If, due to extenuating circumstances, your project has not been completed, you may contact our Board of
Directors and ask for an extension on your Final Report.
3. The Final Report is sent to you along with your check, it is due in one year. However, if you plan to apply
for a grant during the Fall, 2003 cycle, your Final Report will be due September 30, 2003.
4. The Final Report must be accepted by your Board of Directors.
IN ADDITION:
1. We expect that you would help us publicize this grant through a press release, Letter to the Editor, or other
appropriate means. The Foundation should receive copies of all such releases or articles published.
2. If your agency of organization prints any materials (brochures, programs, etc.) it is expected you will credit
the Tri-Vailey Community Foundation with participation in your funding program, if we are the sole sponsor
of any printed material, we expect prominent recognition on same.
3. The Foundation reserves the right to follow up this grant allocation with evaluation site visits while the
project is in progress or once the project has been completed. We also reserve the right to require the grantee
agency to provide the Foundation with interim or progress reports.
