HomeMy WebLinkAbout8.4 Civic Center Modifications Bid STAFF REPORT CITY CLERK File #600-35 CITY COUNCIL DATE:August 21, 2012 TO: Honorable Mayor and City Councilmembers FROM: Joni Pattillo, City Manager SUBJECT: Civic Center Modifications Authorization to Bid Contract No.12-12 Prepared by : Herma Lichtenstein, Parks and Facilities Development Manager EXECUTIVE SUMMARY: Staff is seeking City Council authorization to bid the construction of the Civic Center Modifications Project, which is a series of minor upgrades to the Civic Center that will accommodate higher service levels as well as meet current Americans with Disabilities Act (ADA) regulations. FINANCIAL IMPACT: The 2012-2017 Capital Improvement Program includes sufficient funding to authorize Staff to advertise bids for CIP No. 930006 project. RECOMMENDATION: Staff recommends that the City Council authorize Staff to advertise Contract No. 12-12, Civic Center Modifications, for bids. Submitted By Reviewed By Director of Parks and Assistant City Manager Community Services DESCRIPTION: The 2012-2017 Capital Improvement Program (CIP) includes the Civic Center Modification Design and Construction project (Project No. 930006). The work to be undertaken with this project includes Americans with Disabilities Act (ADA) upgrades to the public counters in City Hall and at Police Services, as well as renovation to public meeting / conference rooms and audio visual upgrades. It is expected the bidding and construction of the Civic Center Modifications will be completed during Fiscal Year 2012/13. ITEM NO. 8.4 Page 1 of 2 The construction documents have been completed. If the City Council authorizes Staff to advertise for bids, it is anticipated the City Council would consider awarding the construction contract in October 2012. If the project is awarded in October 2012, the construction would begin in late October with final Acceptance anticipated in the first quarter of 2013. As the intent is to keep the Civic Center open during construction, Staff has included provisions in the contract to minimize disruptions to City operations and public use. It is expected that the Regional Meeting Room may be closed for a short period for renovations, and Staff has taken the proactive step of blocking out a period of time spanning the holiday season to accommodate work and minimize inconvenience to the public. NOTICING REQUIREMENTS/PUBLIC OUTREACH: Advertisement of the project will be listed as a public notice in the Valley Times and posted on the City of Dublin’s website. In addition plans and specifications will be submitted to plan rooms throughout the Bay Area. ATTACHMENTS: None Page 2 of 2
