The plan was approved by City Council on November 1, 2011, and Staff has started the planning process. In order to begin firming up event plans, Staff is seeking City Council approval of the date for the event. FINANCIAL IMPACT: None RECOMMENDATION: Staff recommends the City Council receive the report and set the event date for September 22, 2012 or provide alternate date. {! tc--cf'- Reviewed By Assistant City Manager Submitted B Director of Park and Community Services DESCRIPTION: As directed by City Council, Staff has begun planning a one-day food, wine and art themed event. As presented to City Council in November 2011, the event components will include: a food and wine pavilion; local restaurant showcase; mobile food trucks; wine and culinary stage; main stage; wine and beverage bars; outdoor art exhibits; art demonstrations; and culinary and arts and craft marketplaces. This year's event will also include a one-time fireworks display and evening concert in celebration of Dublin's distinction as an All-American City and its 30th anniversary of incorporation. Staff will be presenting a report to City Council in April on the event branding and promotions plan. Page 1 of 2 ITEM NO. 7.3 Staff has looked at various event calendars in the area and has started researching options for event entertainment and attractions. Based on this research, Staff is recommending the event be held on September 22, 2012 for the following reasons: • The first weekend of September is the Livermore Valley Winegrowers signature event weekend. Since this group's participation is key to the success of Dublin's festival, this weekend is not an option. • The second weekend of September is too close to the Livermore Valley Winegrower event. Also, an established event in Mountain View is a significant draw for the type of art vendors that Staff would like to attract to the festival. • The weekend of September 15 is extremely competitive for food, wine and art events. Additionally, California Artists, the group that organizes quality fine art vendors, are not available on September 15. • There are fewer events on September 22 that pose direct competition for both vendor participants and patrons. • NBC-11 has verbally committed to be a media sponsor. They are not available on September 15. • On the weekend of September 29, some of the potential vendors and entertainment Staff is considering are not available. NOTICING REQUIREMENTS/PUBLIC OUTREACH: Staff contacted the Livermore Valley Winegrowers Association to reach out to winery members. They are eager to support this event once a date is selected but have asked that we are sensitive to their Labor Day weekend event and recovery period. ATTACHMENTS: None Page 2 of 2
