DESCRIPTION • At the May 9, 1988 meeting of the Dublin
City Council the Council received the final report from the
Dublin School Facilities Improvement Task Force. The report
contained a list of recommendations for improvements on school
property that the City could undertake, however no cost estimates
were provided. Prior to committing funds for the improvements,
the Council directed staff to send a letter to the Dublin Joint
Unified School District Board of Directors, seeking their support
of this study in order to seek the services of a professional
landscape architect to prepare cost estimates for the
improvements.
A response was received on June 3 , 1988 from Heinz Gewing,
Superintendent of Schools , supporting the Citys efforts in
seeking further cost estimates for the improvements (Exhibit A) .
As a result of the positive response by the School District,
staff consulted with Phil Singer of Singer and Hodges , Landscape
Architecture, who has prepared a Letter of Agreement to provide a
cost analysis for the Dublin School Facility Improvements
(Exhibit B) . The fee for services shall be billed hourly and
shall not exceed $4 ,000 .
It is the recommendation of staff that the City Council approve
the Letter of Agreement and authorize the Mayor to execute the
agreement.

In response to your letter dated May 19, the Board of
Trustees is very appreciative of the efforts by the City
District Office of Dublin in appropriating $4,000 of city funds to appoint

in the use of school facilities. I plan to meet with Richard
Ambrose so that we can review some of the issues pertaining

Our Board Meetings will be scheduled for Wednesday evenings

beginning July 1 , 1988. The Board has indicated an interest
in meeting in a joint study session on any day that is

RE: Dublin School 's Facilities Improvement Costs
Dear Diane:
We want to thank you for the opportunity of submitting the following proposal
for the preparation of a cost analysis for the renovation and improvement .of the .
Dublin schools grounds area.

PROPOSAL •
I. Landscape Architectural Services - -
Singer & Hodges, Inc. shall perform the following landscape architectural
services.
A. Meet with representatives of the 'City of Dublin to determine
appropriate improvements at each of the six school sites. (The six
school sites include four elementary schools, one middle school , and
one high school .)
. B. Perform on-site reconnaissance at each site to determine the extent of
renovation necessary. It is understood that a representative of the
school district maintenance department will be available to provide
information regarding existing conditions and procedures, including.
sprinkler systems, turf, and plantings. •

C. Preparation of a report indicating recommended improvements and impro-
vement costs at each school site. City will be provided with original
report suitable for reproduction and ten copies of the report.
D. The City of Dublin shall provide all existing site. information, -
including school site record drawings, which are necessary for the
completion of the landscape architectural services in this letter of
agreement.

II. Reimbursable Expenses
A. Reimbursable expenses are in addition to the compensation for services
and include actual expenditures made by the employees and consultants
of Singer & Hodges, Inc. in the interest of the project for the expen-
ses listed in the following subparagraphs.
1. Expense of renderings, models, and mock-ups requested by the
Owner, not included in the scope of Landscape Architectural
services.
2. Expense of courier service and express mail .
III. Compensation for Services and Billing Procedure
A. The fee for the services indicated in this proposal shall be billed at
the hourly rates listed in Item IV and shall not exceed $4,000.00.
B. Bills shall be submitted monthly, based on the progress of the work.
IV. Additional Services
Any extra services in addition to those indicated in this proposal shall
be billed at the hourly rates listed in addition to the fee indicated in
Item III above. -
Senior Principal $75.00 per hour -
Principal $60.00 per hour
Associates $45.00 per hour
Draftsperson $35.00 per hour
Clerical 1 $30.00 per hour
Clerical 2 $25.00 per hour
A signed copy of this letter of agreement shall serve as our authorization to
proceed with the services indicated.
