Building Renovation

RECOMMENDATION Adopt Resolution.
FINANCIAL STATEMENT: An additional appropriation of $8, 151 .00 from the
Unallocated Reserves.
DESCRIPTION: On May 29, 1990, the City Council accepted the
improvements and filed a Notice of Completion on the Shannon Community
Center Building Renovation. There were outstanding punchlist items which
were the subject of a Mutual Release Agreement approved by the City Council
on July 9, 1990. The action taken by the City Council also involved an
additional appropriation, to cover the total project costs. The
appropriation was approved for Fiscal Year 1989-90, assuming that the final
payments would be made in that Fiscal Year.
Due to a delay by the Contractor in completing the punchlist and submitting
an invoice, the final payment was not made until October of 1990. This was
after the Fiscal Year 1989-90 books had been closed. Therefore, $8, 151 in
project costs were paid and recorded as Fiscal Year 1990-91 expenses. The
total project cost did not change from the information previously
presented. The only change is that the actual 1989-90 expenses were $8, 151
less than previously estimated and this amount was incurred in the
following Fiscal Year.
In order to correctly reflect this expense in the City's Financial records,
an additional appropriation is required. Staff has prepared a Resolution
which would make this change. Staff recommends that the City Council adopt
the proposed resolution.

A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF DUBLIN

APPROVING AN ADDITIONAL APPROPRIATION AND BUDGET MODIFICATION
FOR FISCAL YEAR 1990-91
(SHANNON CENTER BUILDING RENOVATION)
WHEREAS, on July 9, 1990, the City Council approved Resolution No.
98-90, which approved Final Acceptance of the Shannon Community Center
Building Renovation and Authorized an Additional Appropriation for
Fiscal Year 1989-90; and
WHEREAS, the action taken in the Resolution was based upon the
anticipation that all work and invoices would be received in a timeframe
which would allow the expenses to be recorded in Fiscal Year 1989-90;
and
WHEREAS, due to a delay in performing punch list work and
submitting a final invoice, certain expenses had to be recorded in
Fiscal Year 1990-91 ; and
WHEREAS, the total project cost was not affected; however, the year
in which the expense is recorded changed; and
WHEREAS, it is appropriate to have an approved budget for the
portion of the expense, which is recorded in Fiscal Year 1990-91 .
NOW, THEREFORE, BE IT RESOLVED that the- City Council of the City of
Dublin does hereby take the following action:
An additional appropriation in the amount of $8, 151 (Eight
Thousand One Hundred and Fifty-One Dollars) is made for Fiscal
Year 1990-91 . Said funds are appropriated for the Shannon
Center Renovation Project (Department 9546) from the
Unallocated Reserves .
BE IT FURTHER RESOLVED that the Finance Director is authorized to
execute any Budget Changes or other accounting entries to complete this
task.
