DESCRIPTION: The Dublin Senior Center is planning for the annual special event
held in May. This newly created event will be called L.I.F.E. — Learn Information For Empowerment.
This event will replace the"Step out for Senior Centers Event"that has been held for the past five years.
EVENT PURPOSE AND THEME
This event will educate seniors, their families and friends about community services available in the Tri-
Valley. This year the event will focus on an emergency preparedness theme empowering seniors for life
emergencies and challenges. The event will include an Information and Resources Fair featuring over 30
senior service providers as well as emergency preparedness agencies. There will also be three main mini-
L.I.F.E. Workshops focusing on the theme "Dare to Prepare for L.I.F.E.". The event will also be used to
kick off a new year-long goal of sharing information about emergency preparedness with the goal of
distributing flashlights and whistles to all seniors in Dublin and providing education on using these
potentially life-saving tools in an emergency.
EVENT OVERVIEW
The event is free to the public and no registration is required. The Senior Information and Resources Fair
will be held in the large Ballroom and will include over 30 exhibitors. Invitations were emailed to
providers of senior services, similar to those invited to the Step Out event in the past. Agencies providing
emergency preparedness services such as the American Red Cross, Collaborating Agencies Responding
to Disasters (C.A.R.D.) and the Dublin Police will be a few of the many key agencies who will support
this event.. In an effort to make the event more engaging, Staff has requested that exhibitors provide
safety item giveaways and safety tips on a business card size card as well as handouts highlighting their
programs and services. At the same time, speakers from the American Red Cross, CARD and Dennis
Richmond of KTVU will provide one or more L.I.F.E. Talks in 15 to 20 minute increments starting at

, 10:30 AM, 11:00 AM, 12:30 PM and/or 1:00 PM. The event will end at 2:00 PM. Staff will, arrange to
provide the following workshops.
• How to Prepare for an Earthquake by American Red Cross
• Tips on How to Prepare for Life Emergencies by C.A.R.D.
• The Medias Role During Disasters by Dennis Richmond
• Laugh Your Way to Health(and Control your Breathing)by Lydia Gonzales of Laughter Yoga
Those in attendance at the event will receive a free whistle and mini-flashlight, with instructions on the
use of the tools in an emergency: The tools in combination have many uses including being able to find
your way in the dark, help rescuers find your location if you are trapped, as well as to communicate with
rescuers. Staff and the sub-committee are trying to secure donations from corporate sponsors to provide
funding so that a whistle and flashlight will be available for all Senior Center patrons, as well as all
seniors in Dublin. The goal is to distribute up to 1,000 whistles and mini-flashlights at the event.
Light refreshments will be provided throughout the morning and afternoon. Free hot dogs and beverages
will be provided during the lunch hour from 11:30 AM to 12:30 PM. Seating will be available throughout
the facility and in the outdoor patio areas.
MARKETING AND ADVERTISING
Staff has created an event logo to identify and promote the event. The event will be prominently
highlighted in the monthly Senior Center newsletter as well as the summer edition of"The Guide". Press
releases will be sent to the local media. Staff is also trying to arrange for an appearance on CTV 30.
Using property tax data and customer information from the City's recreation database, Staff will create a
targeted mailing list to send the event postcards to Dublin residents who are seniors. The post cards will
also be given to the exhibitors to distribute to their customers. Staff is also asking the Dublin San Ramon
Services District to print a brief note about the event on the water bills of Dublin residents.
OUTCOMES AND EVALUATION
The expected outcomes are to educate seniors, their families and friends about services available in the
Tri-Valley, as well as increase their knowledge of emergency preparedness and readiness for a disaster.
An evaluation will be distributed to measure these outcomes as well as garner feedback on the overall
event. As an incentive, those responding to the survey will be entered into a drawing for "Emergency
Related" door prizes provided by local businesses each hour.
PROGRAM BUDGET
The budget for the 2007 event is $750. However based on the event plan, the total event expenses are
estimated at $2,350. Staff and volunteers will solicit donations from the Dublin Senior Foundation and
local businesses to offset the $1,600 difference. Vendors participating in the LIFE event will provide
approximately$900 toward the cost of the flashlight giveaway items.
VOLUNTEER NEEDS
In order to have a successful event, Staff will need significant volunteer assistance with the planning and
implementation of the event. Each Dublin Senior Center Advisory Committee Member will assist Staff to
be a co-chair and help support a portion of the responsibilities. A recruitment of volunteers will also be
implemented to help on the day of event.
RECOMMENDATION: Staff recommends the Committee receive the report, and discuss Committee
Member volunteer responsibilities.
