HomeMy WebLinkAbout11-01-2001 YAC Minutes CITY OF DUBLIN YOUTH ADVISORY COMMITTEE MINUTES OF:November 1, 2001 CALL TO ORDER The November 1, 2001 meeting of the Youth Advisory Committee was called to order at 7:44p.m. at the Dublin Civic Center by Cm.L. Arcuri. PLEDGE OFALLEGIANCE Pledge of Allegiance was lead by Cm. L. Arcuri. ROLL CALL Committee Members Present: C. Arcuri, L. Arcuri, J. Bao, C. Champlin, K. Champlin, C. Futterer, K. Laird,Y. Phang,A. Pillar,L. Smith, M. West, S. West, and S. Williams Alt. Committee Members: J. Chan and S. Kahn Committee Members Absent: None Liaisons Present: Hootman and Neabeack Staff Present: Quigley and Siu ORAL COMMUNICATIONS-None MINUTES OF THE REGULAR MEETING- October 4, 2001 AFTER CORRECTING THE PLACEMENT OF Alt. COMMITTEE MEMBER J. CHAN UNDER THE ALTERNATE COMMITTEE MEMBERS PRESENT ON THE ROLL CALL, A MOTION BY CM. K. CHAMPLIN, SECONDED BY CM. L. SMITH,AND BY UNANIMOUS VOTE,THE COMMITTEE VOTED TO APPROVE THE MINUTES OF OCTOBER 4,2001. WRITTEN COMMUNICATIONS-None UNFINISHED BUSINESS-None NEW BUSINESS Event and Activity Promotional Plan Recreation Specialist Quigley reviewed the Event and Activity Promotion plan report with the Committee, who made recommendations to improve publicity for teen events. To ensure that events will be successful,the following suggestions were made: Marketing events as an interesting and"hip"thing, provide flyers that are decorative and vibrantly colored. The following ideas were discussed on how to publicize monthly events: Use big, colorful posters, give flyers to friends to hand out, give flyers to middle school teachers for each student at the middle school, give one flyer to each high school teacher to post in their classroom. Audience member Yvette Martin suggested giving a discount to those who come in a group of five or more. Other promotional ideas included using brightly colored V2& '/4 sheet flyers, use the video bulletin at Dublin High School, marquees, and public service announcements. The committee gave the following feedback for posting and distributing of publicity materials: post flyers in the gym, lunchroom, locker bays, bathrooms, the front office, in the halls of schools, at school bus stops, dress up the quad area, handing flyers to waiting parents, direct mail, postings at the library, fast food establishments, and in Hacienda Crossings, with the approval of the store manager. Suggestions on how far in advance events promotion should take place included: deciding on a case by case basis, getting flyers out in waves with more details each time, start promotion for small events 2 weeks beforehand, and flyers out 1 week beforehand, for larger events give more time to publicize, choose a few days a week to advertise on the school marquee and in the announcements. Implementation of the above strategies can be achieved by: Using the procedures outlined above for all events, having staff send out email reminders, and publicity officers/poster making sub-committee will call for extra help when making posters. ON A MOTION BY CM. K. CHAMPLIN, SECONDED BY CM. S. WILLIAMS,AND BY UNANIMOUS VOTE, THE COMMITTEE VOTED TO APPROVE THE GUIDELINES AS DISCUSSED. Youth Advisory Committee T-shirt Design The Committee reviewed the Y.A.C. T-shirt designs and it was determined that Teen Funds will be used to purchase shirts for Committee members. The Committee did not come to a consensus on shirt design and color. ON A MOTION BY CM. K. CHAMPLIN, SECONDED BY CM. C. ARCURI, AND BY A VOTE OF 12 AYES AND 3 NAYS THE COMMITTEE VOTED TO USE TEEN FUNDS TO PURCHASE BLACK SHIRTS WITH A WHITE SCREEN PRINT,INCLUDING A BLACK YAK IN A WHITE CIRCLE ON THE BACKSIDE. SUBCOMMITTEES AND REPORTS Report: Capture the Cauldron Nite Cm. K. Champlin reviewed the Capture the Cauldron Nite with the Committee. Suggestions and ideas from the Committee for this event included: there were too many posters up at the middle school due to Red Ribbon Week, the event cost too much, too much time was spent inside before the games started and using scary decorations in the Social Hall went well with the Halloween theme. A total of 34 teens attended this event. Report:Snowboard Trip Recreation Coordinator Siu reported that the snowboard trip will be held at Kirkwood Ski Resort on Monday,January 21, 2002 . Report: YAC Attack Recreation Coordinator Siu announced he is on the planning committee for the upcoming YAC Attack in March 2002. Recreation Specialist Quigley announced that she will be working with a subcommittee to develop a workshop to present at the YAC Attack. OTHER BUSINESS Brief Informational Only Reports from Youth Advisory Committee Members and/or Staff After the question of "Why Committee Members are not able to attend YAC events free of charge?" Recreation Coordinator Siu commented that the city needs to cover it's cost for events and Committee Members will need to pay for all trips, but staff will try to accommodate Committee Members for activities that do not incur cost to the City. Recreation Specialist Quigley suggested that Committee Members who come early and help to set up for events may get their event fees waived. Recreation Specialist Quigley announced that the unofficial position of Historian Officers would be needed for this year. Cm. C. Hootman and Cm.L. Smith will assume that position for this Committee term. Recreation Coordinator Siu announced that an alternate activity is needed for the month of November because roller skating is not feasible due to cost. The committee decided to hold a Karaoke and Coffee night at Celebrity's Café on Friday,November 30th from 7:00-10:00 pm. Also, Recreation Coordinator Siu announced the upcoming Solar Extreme Bowling night at Earl Anthony's Dublin Bowl on December 8, 2001.
