Pledge Allegiance Roll Call Committee Members Present: Bielke, Gifford, Jennings, Payton, Silvas, and Commissioner Burr Cain Oral Communications -None Approval of Minutes IT WAS MOVED BY GREER PAYTON, AND SECONDED BY BARBARA GIFFORD TO APPROVE THE MINUTES OF DECEMBER 4, 2003. Unfinished Business • Appointment of an alternate Representative to Fallon Sports Park Task Force At the last Advisory Committee Meeting, Paul Silvas volunteered to serve as the Dublin Senior Center Advisory Committee representative to sit on the Fallon Sports Park Task Force. However, the Committee still needed to determine who would serve as an alternate in the event Paul could not attend the meetings. Mary Lou Bielke volunteered to be the alternate. New Business Change of Monthly Meeting The Advisory Committee unanimously agreed to change the Dublin Senior Center Committee meeting from the second Thursday to the first Thursday of the month. The first Thursday is preferred because it usually would not conflict with other senior activities and meetings; whereas the monthly luncheons were usually scheduled on the second Thursday. Another reason for the change is that the Committee wanted ample time to present pertinent information for consideration by the City Council. The next Advisory Committee meeting is scheduled on Thursday, February 5. IT WAS MOVED BY GREER PAYTON;AND SECONDED BY MARYLOUBIELKE. Volunteer Identification Staff hopes that the new name badge policy will bring recognition to all volunteers and bring uniformity to the volunteers who actively volunteer and give of their time. In the past, volunteers have worn various name badges provided by the Senior Center. One of the first badges purchased for the volunteers, and still worn by some volunteers, is white in color with"Dublin Senior Center" engraved in green on the top of the badge and "Volunteer" written at the bottom of the badge. There is a place in the center to print in the name. Approximately, two years ago, volunteers received nametags as gifts at the Volunteer Banquet; they were gold in color with their name engraved in black. Since then, new volunteers have not been provided with name badges. CM. Paul Silvas volunteered to maintain a volunteer board in a designated area where name tags can be stored as well as where all volunteers could log in their time. Currently, it is difficult getting all volunteers to document their-hours. Minutes—January 12, 2004 Page 2 of 3 It is estimated that more than half of the 100 volunteers who volunteer at the Senior Center donate from 1 to 4 hours a week. These volunteers were invited to the City Volunteer Banquet. This year the City Banquet, which was usually held in October, was rescheduled for February 26, 2004. Because of the date change, the Senior Center Volunteer Banquet will likely change its annual Senior Center Volunteer Banquet from April to June. Staff recommended that the Committee Members wear the Dublin Senior Advisory Committee badge provided when they attend a City function to encourage dialogue with patrons. In addition to keeping the public informed about the programs and activities offered at the Dublin Senior Center, Staff suggested the Committee Members try to schedule at least one Advisory Committee Member to attend Commission and City Council meetings. , As a way to keep the patrons more informed, CM. Paul Silvas suggested that the agenda packet of Advisory Committee, including the agenda, minutes and statement, be posted on a special bulletin board inside the Senior Center as a way to share information with seniors. This board would serve to not only give information but also help seniors recognize the role and responsibility of the Advisory Committee members. CM. Barbara Gifford suggested that an update of the new facility(timeline of the construction) be posted on this board. CM. Mary Lou Bielke recommended that a suggestion box be made to find out more specifically what the changes and concerns are to be addressed. Ms. Bielke was certain that people would utilize the suggestion box to give their opinions. Staff mentioned that a trips and tours survey was recently mailed out to "supporters" in the "Dublin Doings"to get input from the seniors. In the past two years, the Center has distributed three surveys. Values, Vision and Mission of the Dublin Senior Center CM. Paul Silvas read the statement for this agenda item. Staff requested for the members of the Advisory Committee help develop a vision statement for the new Senior Center. Staff explained that the core values are the beliefs that form the foundation of the Senior Center. They will be used to guide all plans and activities of the Center to successfully meet the needs of the residents. Staff asked the Committee Members to determine "What qualities are most valued by patrons at the Dublin Senior Center"? Staff encouraged the Committee Members to focus on qualities and attributes, such as warm and welcoming, not features, such as classes,programs, events, etc. Staff then led a brief discussion to share what benefits were important to them and which benefits they thought were most valued by patrons at the Dublin Senior Center. As an example, Staff used the Trail Trekkers Program model to present the variety of benefits that is derived from the Trail Trekkers Program and, explained each core value. Staff used a photo of the Trail Trekkers Program to reveal the types of core values and benefits that were experienced by the walkers. Staff asked the Committee Members to participate in an exercise to help come up with words that expressed the benefits that seniors may experience from participating in a recreational programs and activities. The following are words that the Advisory Committee came up with: Camaraderie Friendship Sense of belonging Challenge Healthier Sharp Communications Interaction Socializing Companionship Participation Varied Creative expression • Participations Warm Energy Renewing of the spirit Minutes—January 12, 2004 Page 3 of 3 Staff explained that these core values could be used to help market the Senior Center and draw more seniors to the Center. By establishing shared core values now. Staff and volunteers will carry over these values into the new center. The Dublin Senior Center is interested in creating an experience for seniors and not just offering programs and activities. By establishing these values, Committee Members can start using the same language and dialogue when making a presentation to the Commission or City Council. Staff encouraged the Advisory Committee Members to use the "alpha-benefits" exercise to think of other core values that may be experienced when participating in a recreational experience.
