Roll Call: Committee Members (CM) Present: Diane Bonetti, Sue Cervantes, Eddie Jo Mack, Lee Sandeman, Tim Pedersen(arrived after the approval of the minutes) Parks and Community Services Commission Liaison Present: Connie Mack Staff Present: Paul McCreary, Assistant Director of Parks and Community Services; Anna Hudson, Recreation Coordinator; Diane Guenther, Office Assistant Oral Communications-None Public Comments-None Those in attendance included Al Edge, Dublin Senior Foundation President, and volunteer Rich Guarienti. Neither made comments. - Approval of the Minutes CM CERVANTES MADE A MOTION TO APPROVE THE JULY 7, 2011 MINUTES. THE MOTION WAS SECONDED BY CM MACK. THE COMMITTEE UNANIMOUSLY APPROVED THE MINUTES OF THE JULY MEETING. Written Communication—None Unfinished Business ADVISORY COMMITTEE SUBCOMMITTEES REPORTS The Committee Members discussed the status of the Advisory Committee strategic goals. Strategic Goal#1 —Reach out to senior groups and social networks in the community Objectives A. Recruit volunteer liaisons at senior housing complexes to,serve as a"Senior Center Concierge" to promote upcoming events and programs. One meeting has been held at the Groves. CM Cervantes suggested using the Welcome Wagon Packet at other facilities and develop a schedule once the packet is complete. B. Provide off-site registration at senior housing complexes for luncheons and special events. Staff will be reviewing how this could be achieved since it would require the handling of City funds at offsite locations. C. Make presentations at local churches to promote Senior Center programs and services. The Sub- Committee wants to use the Welcome Wagon Packet to outreach to local churches and other groups. They want create a Senior Center awareness program to present to churches. The subcommittee is compiling a list of contacts at the area churches. CITY OF DUBLIN SENIOR CENTER ADVISORY COMMITTEE MINUTES OF SEPTEMBER 1,2011 PAGE 2OF3 Strategic Goal #2 —.Assist Staff with planning and implementing new special events to attract new patrons to the Senior Center Objectives A. Plan and implement an annual intergenerational event with the Youth Advisory Committee. This goal will continue with the creation of the new-Car Show Subcommittee. B. Plan and implement a Fashion Show as a cooperative event with the Dublin Senior Foundation. This goal was completed in August 2011. The show was successful and 99 tickets were sold. CM Sandeman commented that the show was beautiful. CM Mack noted many new participants attended this event. C. Plan and implement a Spring Boutique. This event is in the planning stages. CM Cervantes would like this event to include an egg hunt for seniors, music, a bunny and the sale of hot dogs. CM Cervantes envisions the event has the potential to earn between $2,500.and$5,000 for the Senior Center. CM Cervantes will be preparing Easter Baskets for sale at the event and 100% of the proceeds will go to the Senior Center. The Committee Members,concurred with Staff that this event should replace the Annual Picnic. Strategic Goal#3 —Educate residents about Dublin and resources available for older adults Objectives A. Conduct annual Senior Resource Fair. This event is scheduled for October 1St B. Create and distribute a "Welcome Wagon Packet" for older adults moving to Dublin that highlights programs, services, parks and facilities available through the City. CM Sandeman is working on the outline of what the packet would contain. She noted that many of the materials are available on the City. website and would just need to be transferred to the packet CM Cervantes suggested including Safeway and Schwan's delivery information C. Provide additional travel training programs with public transit agencies. WHEELS will be providing one-on-one appointments for transit training. D. Conduct a bus tour of Dublin's parks, facilities and new development in the community. This objective will be accomplished next year. E. Create an annual discount card for Dublin Senior Center Supporters that is good for senior discounts at local businesses. The Subcommittee decided this goal was too much work for too little benefit and it was deleted. New Business TRIPS AND TOURS PROGRAM UPDATE - Hudson provided an overview of the reinstated Trips and Tours program as outlined in the agenda statement. CM Bonetti commented one person has approached her with some concerns about the program and she will be following up. McCreary recommended having the customer contact Anna or Camille with the.concerns. FY 2011-2012 SENIOR CENTER BUDGET McCreary provided a presentation on the 2011-2012 Senior Center budget as outlined in the agenda statement. . CM Cervantes suggested selling advertising space in the newsletter to help offset the cost. McCreary indicated that the City has not created a policy.on advertising in publications. He indicated that Staff has CITY OF DUBLIN SENIOR CENTER ADVISORY COMMITTEE MINUTES OF SEPTEMBER 1,2011 PAGE 3 OF 3 been concerned that it may change how the publication is perceived by the public and that the City's program information could get lost or be overwhelmed by advertising. McCreary indicated Staff would prefer to find other methods to supplement the cost of the newsletter if the need arises. The Committee engaged is some discussion about supporter fees and the newsletter as a promotional tool. Edge recommended setting a target to have the newsletter reach 25% of the senior population in Dublin. APPOINTMENTS TO THE CAR SHOW SUBCOMMITTEE Hudson reviewed the Car Show event as outlined in the agenda statement. CM Bonetti and Sandeman volunteered to be the Subcommittee and attend future meetings. Other Business Hudson indicated the Dublin Senior Foundation approved the purchase of a new ping pong table that should arrive next week. Commissioner Mack noted the August Parks and Community Services Commission meeting was cancelled. Rich Guarienti invited the Advisory Committee Members to the 9/11 Remembrance Walk with the Trail Trekkers at the Martin Canyon Creek Trail. The Trail Trekkers are celebrating.the 10th Anniversary of the program as well. McCreary noted that Wi-Fi is now available at the Senior Center.
