HomeMy WebLinkAbout4.05 Dublin Pride Week CITY CLERK File # I= AGENDA STATEMENT CITY COUNCIL MEETING DATE: February 15, 2000 SUBJECT: ATTACHMENTS: Report on Dublin Pride Week Activities and Acceptance of Gifts to the City Report Prepared by: Jason Behrmann, Management Assistant 1) Letter dated January 14, 2000, from Tim Hunt, Tri-Valley Herald, outlining co-sponsorship agreement. 2) Letter dated February 1, 2000, from Annette Borges, Livermore- Dublin Disposal, outlining co-sponsorship agreement. RECOMMENDATION: / 1) Receive Dublin Pride Week Activities Report 2) Accept gifts from Livermore-Dublin Disposal, Tri-Valley Herald and Target, and direct staff to prepare formal acknowledgement. FINANCIAL STATEMENT: $4,500 was included in the Fiscal Year 1999-2000 budget. In addition, Livermore-Dublin Disposal will contribute $3,025, Target will donate $200 and the Tri-Valley Herald will contribute a variety of advertising and promotional services valued at $8,600. DESCRIPTION: Dublin Pride Week is an annual event, which seeks to promote a positive image for the City of Dublin. The goal is to seek ways in which individuals or groups can act to improve the community. The motto of the event is "Dublin Pride, City-Wide" and the theme is "Dublin 2000, We've got the Pride" to focus the event on looking forward to Dublin in the new millennium. This year, Dublin Pride Week is scheduled to begin on Saturday, March 18th, and will conclude on Saturday, March 24th. Livermore-Dublin Disposal's (LDD) first special clean-up for the year will take place between March 6~-24th (two other clean-ups will be held in June and September). During the clean- up, Dublin households can dispose of up to three cubic yards of refuse at no additional charge. Residents will be encouraged to clean up their own properties as part of the Dublin Pride Week activities. A committee comprised of City staff, two City Council members, a school district representative and a Livermore-Dublin Disposal representative has met twice and has developed a plan to implement the following goals: H/cc-forms/agdastmt. doc COPIES TO: ITEM NO. Continue to Expand Community Awareness of Dublin Pride Week: · Promotional posters will be distributed to area businesses by police department (designed and printed by Tri-Valley Herald). · Press releases will be sent to area newspapers, and PSA's to radio stations. · Newspaper ads announcing the event will run in the Tri-Valley Herald (donated). · Announcements will appear in school *newsletters and on reader boards. · Announcements will appear on Channel 30. · Ruler/bookmarks printed with the Dublin Pride Week logo and an LDD Recycling message will be distributed at the St. Patrick's Day Festival. o Involve City School Children in Dublin Pride Activities: , Distribute "Dublin Pride" promotional items (yo-yo's) to each child that attends school in Dublira · Sponsor poster contest for grades K-12. · All participants will receive a certificate of appreciation; · Winners at each grade level will receive Target gift certificates (donated directly by Livermore- Dublin Disposal and Target); · Winning entries of contest will be displayed at Civic Center; · Top contest winners will be invited to ride in the Dublin Pride Week parade float; · Contest winners will be printed in the Tri-Valley Herald (donated). Encourage Community Improvement Projects: · Individuals, classes, groupS, and business are encouraged to "Make a Difference in Dublin" by donating their time to community-improvement projects. · Letters have been sent to 24 community organiTations asking for assistance with a list of community projects, including those at the Heritage Center, Senior Center and the Easter Seals Kaleidoscope Activity. Center. · The Tri-Valley Herald will join with the City to present an award to an outstanding project. · PartiCipants will be acknowledged at a City Council meeting. Budget: Cash Contributions: City- $4500 LDD $3025* Target $200 $7,725 In-Kind Donations Tri-Valley Herald Anticipated Expenses: Promotional Items $6000 Posters $250 Prizes $825* Rulers/Bookmarks $400 Miscellaneous $250 $7,725 $8,600 in poster' design and event publicity *LDD will contribute $2400 to the City, and $825 directly to the contest winners in the form of Target gift certificates' Recommendation: Staff recommends that the Council receive the Report on Dublin Pride Week activities and accept gifts from Livermore-Dublin Disposal, Target and the in:kind donations from the Tri-Valley Herald, and direct staff to formally acknowledge the generous donations. We're delighted to again sponsor this event. Let's use this plan, The Tri-Valley Herald will: * Publish both the winning essay(s) and posters in a house ad in the paper. We will devote half, page to this promotion. * Design a poster for the 2000 contest, uslng the winner from the 1999 contest as a base. We will print 200 to 500 full.color posters, depending upon how many the committee would like (the cost is very similar for 200 or 500). ... * Design ~nd publish 6 3xl 0 house ads promoting the event and encouraglng participation. * Join with the city to present an award, should the comm. it~ee desire, to outstanding clean-up projects. VALUE: $8,600 In ~turn, thc committee will: * Designate the H~rald as the presenting sponsor and the exclusive print media sponsor of Dublin Pride Week. * Fly five Herald banners at suitable locations. Herald logo will be prominently displayed on Dublin Pride Week banner flown over San Ramon Valley Boulevard, * Include Herald logo/banner on Dublin Pride Week parade entry. * Give Herald the greatest share of any print advertising budget. * Include Herald logo on any promotional item(s). * Give Herald f~t right of refusal for 2001 celebration. * Contribute $250 toward printing of poster. We are committing $3,025.00 towards the Dublin Pride Celebration. These monies are to be used towards the environmental awareness program and to purchase gift certificates fl'.om Target for tho Dublin Pride Poster Contest. The gift certificates will be presented to students from the Dublin School system. Sheila Fagliano, Recycling Manager for Livermore Dublin Disposal, is on the Dublin Pride Committee and will be in charge of awarding each child who participates with a "Certificate of Merit for Participating" in the Dublin Pride Poster Contest. Last year Livermorc Dublin Disposal presented 285 students with a certificate. All of the paper, presentation folders and certificates were provided by Livermore Dublin Disposal and we will again provide those materials. Livermore Dublin Disposal will also'provide Handy Haulers to nonprofit organizations that will sponsor a specific project to help clean up the Dublin Community and is approved by the City of Dublin. The winners of the Dublin Poster Contest will ride in our restored antique garbage truck. We provided this truck last year and look forward to showing off this vehicle again. Mrs. Fagliano, Jason Behrmarm, and the City Staff have been working together to provide the best Dublin Pride Celebration p°ssible and we thank you for letting us be a part of the Dublin Community.
