WHEREAS, the 2004-2005 Capital Improvement Program Budget includes funding for consultant services for Network Migration; and WHEREAS, the City requested proposals trom qualified firms and received several valid responses; and WHEREAS, MicroMenders Inc submitted a proposal and a scope of work which complies with all the City requirements, is the least costly and offers a plan that Staff deems the most appropriate to meet the City's needs; and WHEREAS, MicroMenders Inc was determined to be qualified to do the work; and NOW, THEREFORE, BE IT RESOLVED that the City Council hereby adopts a resolution awarding a contract agreement to MicroMenders Inc for consultant and network migration services and authorizes the City Manager to execute that agreement. Exchange 5.5 infrastructure to Windows Server 2003 Active Directory! Exchange 2003. City of Dublin and MicroMenders have met to discuss the scope of the project and City of Dublin has requested that MicroMenders provide a proposal for this project. In order to minimize cost and maximize the potential for knowledge transfer during the course of the project, MicroMenders and the City of Dublin IT staff will work together as one project team for the duration of the project. The City of Dublin team members will participate in the planning, testing and implementation phases of the project. working side-by-side with MicroMenders engineers with the benefit of extensive experience conducting similar projects. The goal of this approach is to offer the City of Dublin team the maximum exposure to the technologies being deployed, making the transition into support as smooth as possible. Business Requirements The timeframe for this project is at the beginning of the new fiscal year, which begins in July 2004. Project Completion Signoff Scope of Work DESCRIPTION OF SERVICES MicroMenders will complete a design session to incorporate Active Directory and Exchange Server. This will include an assessment for viability of proposed hardware resources, software versions, and system capacity. Designs will be reviewed and revised in conjunction with the City of Dublin IT staff based on conclusions drawn by the collaborative team. Open questions and/or issues will be investigated and resolved in the lab environment. MicroMenders will produce finalized design documentation for AD and Exchange. and develop an implementation plan for deploying the AD/Exchange solution at City of Dublin. Once the design and implementation plans have been completed and validated, MicroMenders will complete the upgrade Of the Windows NT domain to Active directory, followed by the migration of Exchange 5.5 resources to a new Exchange 2003 server. At the conclusion of the implementation, MicroMenders will produce a complete set of as-built network documentation for AD & Exchange. to reflect the changes made to the network environment during the course of the project. This section is provided to identify any hardware, software, materials, or services that will need to be acquired either prior to, during, or following the implementation of this project. It is the responsibiJityof the client to budget for and obtain these services as required by the scope of this project in a timely manner. In many cases, MicroMenders can serve as a resource for the acquisition of these materials and services, either as a vendor or by providing referrals to other vendors. If MicroMenders can make any of the items identified here readily available, an additional quotation will be provided as Addendum 1 to this proposal. If no quotation is provided, please. contact your account manager for additional information Within MicroMenders'current understanding, the following items will be required in order to complete this project: . Risks factors are identified in the table below, and are categorized as Low, Medium, or High risks. A brief Impact Assessment is provided to provide a baseline evaluation of how the factor might come in to play. Risk Factors Client Staff Availability 'Medium AD Domain Prep Medium Input and participation from 'key staff members at City of Dublin are vital to the success of this project. MicroMenders expectation is that participation in the project on the part of individuals at City of Dublin responsible for the design and execution of this AD/Exchange solution will be significant. Limitations of the availability of key staff members at City of Dublin may slow down the progress of the project and/or extend the duration of the project. MicroMenders is relying an the City af Dublin IT staff to complete the AD Domain Prep in a timely fashion in order to insure the success of this project. By nature, IT staff schedules can be erratic and unpredictable, and support emergencies will often take precedence over implementation projects. Failure on the part of the City of Dublin IT team to complete this portion of the work in a timely manner could impede the forward progress of the project and delay completion. In certain cases, such delays can result in additional time requirements for the MicroMenders team, resulting in additional incurred cost on the part of the client Client Requirements STAFFING REQUIREMENTS This section is included to provide clients with an understanding of the expectations of internal staff to participate in the proposed project Success and timely execution of projects often hinge on the ability of the internal staff to work with the project team and participate in the execution of the project. Failure on the part of the to provide these resources in a timely fashion may result in unforeseen delays or problems during the course of the Project.
