HomeMy WebLinkAboutItem 4.05 Historic Pk Theater Lighting G~~~ OF DUB~y ~9~ STAFF REPORT CITY CLERK ``~~~1 f CITY COUNCIL Flle #600-35 O~GIFO[z~~ DATE: October 18, 2011 TO: Honorable Mayor and City Councilmembers FROM: Joni Pattillo, City Manager ~a SUBJECT: Acceptance of Dublin Historic Park Theater Lighting Project and Final Project Close-Out and Budget Adjustment Prepared by Herma Lichtenstein, Parks & Facilities Development Manager EXECUTIVE SUMMARY: As part of the Dublin Heritage Park and Museums Project the City Counci{ approved an agreement with Sousa Electric to install Theater Lighting. This work is now complete and it would be appropriate to accept that work. As this is the final segment of work on the overall Park Project, it is also necessary to make funding adjustments to account for the final project. An additional $110,000 is proposed to reflect additional Staff and Project management expenses associated with the Park Development. These are separate from the work performed for the Theater Lighting. FINANCIAL IMPACT: On June 7, 2011 the City Council authorized an agreement with Sousa Electric. The net cost of the Theater, Lighting Work after accounting for a deductive change order and contingency was $56,520. The work is now complete and the total cost is $53,315. Although this work was completed for less than the appropriated amount, it is necessary to appropriate to the Heritage Park and Museums Capital Project #950001 an additional $110,000. This appropriation will be recorded as of June 30, 2010 and will allow for the close-out of the project. RECOMMENDATION: Staff recommends that the City Council take the following actions: 1) Adopt the Resolution Accepting Project No. 10-09, Dublin Historic Park Theater Lighting Project and authorize Staff to accept the maintenance bond in the amount of $5,076; and 2) Approve the Capital Project Budget Change. Submitted By Reviewed By Director of Parks and Assistant City Manager Community Services DESCRIPTION: Page 1 of 2 ITEM NO. 4.5 At the June 7, 2011 meeting the City Council awarded the Dublin Historic Park Theater Lighting Project to Sousa Electric. The project is now complete and available for City use. The completion of the theater lighting and sound system in the Sunday School Barn at the Dublin Heritage Park and Museums will allow for a variety of programming opportunities such as; youth theater, performing arts programs and classes, musical performances, and use during events. This work was completed within the budget established at the time of the award of the contract. The Theater Lighting was the final construction work to be completed as part of Capital Project 950001 Dublin Heritage Park and Museums. As part of the final project close-out an additional appropriation of $110,000 is required. This project was funded from the General Fund and the appropriation will be recorded as of June 30, 2011 from unappropriated general fund reserves. A portion of the appropriation will carry-over to Fiscal Year 2011-2012. The additional appropriation reflects a final reconciliation of all project costs including Staff time and project inspection and management costs. Budget Change Form Page 2 of 2 RESOLUTION NO. - 11 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF DUBLIN ACCEPTING CONTRACT NO. 10-09 DUBLIN HISTORIC PARK THEATER LIGHTING PROJECT WHEREAS, Sousa Electric entered into a contract with the City of Dublin to complete the construction of Dublin Historic Park Theater Lighting Project, in accordance with plans and specifications on file with the City Engineer; and WHEREAS, said improvements have been completed in accordance with said plans and specifications, and any approved modifications thereof, to the satisfaction of said City Engineer of the City of Dublin; and WHEREAS, as a condition of said contract, Sousa Electric is required to guarantee the improvements for a period of one year following acceptance of the work by the said City of Dublin; and WHEREAS, as improvements are now completed, and the original performance bond security requirement can be reduced, in accordance with the authority contained in Section 66499.7 of the Government Code of the State of California, to an amount found necessary to guarantee maintenance of the completed work for the aforesaid one-year period. NOW, THEREFORE, the City Council of the City of Dublin does RESOLVE: 1. The City Council accepts the improvements, completed per plans and specifications and; and 2. Upon acceptance by the City Council, the aforesaid performance bond security requirement may be reduced from the amount of $50,750 to the amount of $5,075.
