CITY COUNCIL MEETING DATE: December 16, 2008

FINANCIAL STATEMENT: Sufficient funds are available in the Fiscal Year 2008-2009 Budget
for the event.
DESCRIPTION: The City is in the process of completing construction of the Shannon
Community Center. The City Council has directed Staff to conduct a grand opening event for the facility.
Therefore, Staff is beginning the planning for the grand opening of the facility. As proposed, the event
will take place on a Saturday in February, from 12:00 noon to 4:00 p.m. The date will be selected once
the final close-out construction schedule is submitted. Staff would like input from the Councilmembers
on their availability on Saturdays during February.
Staff proposes that the theme for the Grand Opening be "Welcome Back!" Staff would invite the Dublin
High School Irish Guard Band to officially begin the event by marching across the parking lot and the
bridge to the entry plaza, where the ribbon cutting ceremony would take place. The ceremony would
include comments from the Mayor and the City's Historian, as well as a poetry reading by the City's Poet
Laureate. Following the ribbon cutting the marching band would lead the crowd into the building.
Parks & Community Services Staff would be positioned at the main entrance to help direct traffic and
hand out a program with a map clearly identifying the variety of activities scheduled with specific
locations and times for each.
Ambrose Hall would be decorated with three different possible themed rental ideas; such as a wedding
reception, a luau and a birthday party. The remaining space would have tables and chairs for guests to sit
and listen to music from the main stage area. Facility rental promotional packets would be available.

On the outside patio adjacent to Ambrose Hall a 40' x 40' tent (complete with windowed sides) would be
setup and feature different food samplings provided by area caterers. There would also be multiple tables
featuring information on the many different classes that will be offered at the new Shannon Community
Center. Instructors would be on-hand in the tent and throughout other areas of the facility to give further
information about their classes, answer questions and encourage enrollment.
The Multipurpose Room on the east end of the building would have a small staging area where
demonstrations of programs planned for the Shannon Community Center such as dance, martial arts,
cooking and theater would take place throughout the day.
Preschool staff would be on-hand to lead personalized tours of the preschool classrooms and distribute
registration information for the 2009-2010 school year. Additional snacks would be available in this area
as well.
The building architects and project manager would be available to provide information and answer
questions related to the environmentally friendly design of the building, which is expected to earn a
Leadership in Energy and Environmental Design (LEED) certification from the United States Green
Building Council. The artists who have designed and installed public art for the Shannon Community
Center would be available to discuss their individual works.
In an effort to celebrate the memories of the former Shannon Community Center, Staff would ask the
public for submissions of photos and stories of the old building. These photos and stories would be
arranged in displays throughout the building.
At the November 17, 2008 meeting, the Parks and Community Services Commission reviewed and
recommended approval of the proposed event plan for the Shannon Center Grand Opening.
RECOMMENDATION: Staff recommends that the City Council approve the proposed event
plan and provide input on potential event dates, or provide additional direction.
