FINANCIAL STATEMENT: None
DESCRIPTION: At the City Council Goals and Objectives Study Session the Council
rated as a high priority developing a community participation process, similar to the St. Patrick's Day
Liaison Committee, for planning the Day on the Glen Festival. The St. Patrick's Day Liaison Committee
was formed in 1997 to help facilitate planning of the St. Patrick's Day weekend activities. Committee
meetings have been held four times per year and typically been attended by representatives of groups
planning St. Patrick's Day activities such as the Dublin Sister City Association, Dublin Lion's Club,
Alameda County Firefighters - Local 55, Dublin Irish Guard Band Boosters, Friends of the Dublin Library
and City Staff/Contractors. Representatives from the City Council and Parks 'and Community Services
Commission have also participated in the past. Following is a summary of how Staff proposes
establishing a Committee for the 2002 Day on the Glen Festival.
COMMITTEE PURPOSE AND MEETING SCHEDULE
This ad-hoc committee would be named the Day on. the Glen Community Liaison Committee. The
Committee's purpose would be to provide input to the City on the planning, marketing, operation and
evaluation of the festival and to coordinate logistics with organizations sponsoring activities during the
festival. Committee meetings would be officially noticed as public meetings and be held at 7:00 P.M. on
the last Thursday of the month as follows:
· 1st Meeting (May 30, 2002) - Review of Prior Year, Planning and Goal Setting
· · 2nd Meeting (July 25, 2002) - Coordination of Information for Publicity and Advertising
· 3rd Meeting (August 29, 2002) - Final OPerations Plan and General Event Updates
· 4th Meeting (September 26, 2002) - Evaluation and Recognition

COMMITTEE PARTICIPATION
Participation at Committee meetings would be open to the general public and facilitated by Staff. In
addition to the general public, Staff recommends specifically seeking participation from the following: · City Council Representative
· Parks & Community Services Commission Representative
· Representatives from Organizations Sponsoring Events or Competitions during the Festival (i.e.
Skateboard Competition, Trivia Competition, Volleyball Tournament, etc.)
· A Vendor from the 2001 Festival
· Representatives of Volunteer Groups from the 2001 Festival
If approved, Staff would coordinate the participation of the abovementioned representatives or others
deemed appropriate by the Councill Staff would also solicit participation from the general public by
distributing press releases, posting notices at City facilities, and mailing flyers to local non-profit groups
and homeowner's associations near the park.
RECOMMENDATION
Staff recommends the Council approve the proposed Committee format and appoint a City Council
representative to the Committee for the 2002 festival.
