AGENDA STATEMENT
CITY COUNCIL MEETING DATE: November 5, 2002
SUBJECT: Award of Bid, Civic Center Council Chamber Lighting Supplement
Project
RePort Prepared By: Jason Behrmann, Administrative Analyst
ATTACHMENTS: 1) Resolution of Award
RECOMME DATIO pt Resolution awarding contract to Th-City Electric, Inc.
FINANCIAL STATEMENT: The construction budget for this project is $46,000. The low bid
received is $32,343, which is within funds budgeted for this project.
DESCRIPTION: The City Council authorized Staff to solicit bids for this project at
the September 3, 2002 City Council meeting. This project provides for the installation of recessed light
fixtures in the City Council Chamber that would bring the lighting to a level more appropriate for a
broadcast environment. The project also includes additional electrical outlets and lighting control modules
required for the soon to be installed Cablecast system.
The work schedule has been set at 15 working days or three weeks, although the lead time for ordering the
specialized light fixtures is up to 12 weeks. The work will be done so as not to disrupt City Council
Meetings, although Other meetings may need to be relocated to the Regional Meeting Room to allow the
contractor a period of at least two weeks of uninterrupted access to the Council Chamber. It is anticipated
that the installation will occur at the end of January 2003.
The City received only one bid for this project. Despite the limited response, Staff believes that the bidder,
Tri-City Electric, Inc. has the required experience to perform the work and has submitted a proposal that
meets all of the City's requirements and is within the project budget. Th-City Electric is based in
Riverside and operates in the Bay Area out of its office in Pleasanton. Th-City Electric specializes in
electrical work for schools, municipalities, and commercial businesses and has completed a number of
broadcast lighting installations. Staff has reviewed the bidder's proposal and checked with references and
recommends that the City Council adopt the Resolution awarding the project to Th-City Electric, Inc.
