Burton for City to Furnish Complete Agenda Packets to Candidates at No Charge (Report Prepared by Kay Keck, City Clerk) ' EXHIBITS ATTACHED: None RECOMMENDATION: Consider FINANCIAL STATEMENT: Additional copy costs of approximately $95. 60 per meeting would be incurred to produce 4 additional agenda packets, plus a 20% increase in agenda preparation Staff time. DESCRIPTION: At the August 28th City Council meeting, Cm. Burton requested that the topic of providing City Council candidates with complete agenda packets for all City Council meetings free of charge until the November election, be considered at the next Council meeting. - - Staff currently prepares 20 complete agenda packets for distribution to the City Council, Staff members, press, and 2 for citizen information. The citizen information packets are available for review by the public; one being available in the City Clerk's Office, and the other delivered to the Library on Thursday evenings prior to a Monday Council meeting. Since the Library is open 7 days per week, this packet is available to the public for perusal on Friday, Saturday, Sunday and Monday. In addition, a copy machine is available in close proximity, should a member of the public wish to photocopy any portion of the information. The packet in the City Clerk's Office is available for review on Friday and Monday only, as this office is closed to the public on weekends. Staff prepared an analysis of the costs and time involved to produce 4 additional agenda packets. An average agenda packet contains approxi- mately 230 pages of information. Because the City's large copy machine has a 20 bin sorter, a second run would be required to produce 4 additional packets. In addition to actual copy costs of about $95.60 per meeting, Staff time required to complete the overall agenda preparation would be increased by 20%. Staff recommends that the City Council consider the above cost factors and provide direction to Staff. COPIES TO: ITEM NO. 194j, - CITY CLERK FILE I I 611 Ic 0
