CITY OF DUBLIN AGENDA STATEMENT CITY COUNCIL MEETING DATE: August 8, 1994 SUBJECT : Request from Valley Volunteer Center for use of the Regional Meeting Room Report by Diane Lowart, Recreation Director EXHIBITS ATTACHED~': ~correspondenc~ from Christine Lafferty RECOMMENDATION \A;V Consider request FINANCIAL STATEMENT Estimated lost fee revenue: $1,250 DESCRIPTION : For the past four years, the city Council has approved free use of the Regional Meeting Room by the Valley Volunteer Center for their management assistance workshop series for the nonprofit community. The Valley Volunteer Center is once again asking for the City's support of this program by making the Regional Meeting Room available at no charge for their 1994/95 workshops. During 1993/94, the Valley Volunteer Center conducted seven (7) seminars in Dublin which were attended by over 137 nonprofit staff members, volunteers and board members. The seminars were designed to provide information to local community based organizations so that they can stay current on topics crucial for a nonprofit's well-being. Presenters spoke on topics such as Building a Client Focused organization through Total Quality Management, Fundamentals of Proposal Writing, Financial Accountability for Non-Profits and How to Make Money from Special Events. As stated in the attached correspondence from Program Director Christine Lafferty, they are requesting use for a maximum of 21 separate workshops and have indicated that the sch~duling of these workshops can be fairly flexible so as to not interfere with City use. As was done during the previous four years, the workshops would be scheduled on a quarterly basis for Fall, Winter and spring, and the actual workshop dates would be selected approximately six weeks to two months prior to the start of the quarter. If the city were to charge the Valley Volunteer Center for use of the Regional Meeting Room as requested, the revenue generated would total approximately $1,250. However, by waiving these use fees, the city would become a major donor for the Valley Volunteer Center and be listed as such on the major donor list. It is the recommendation of Staff that the city Council consider the request from the Valley Volunteer Center for use of the Regional Meeting Room at no cost for 21 Nonprofit Management Services workshops between september of 1994 through June of 1995. ::::-::~-~~~-------------------::::::-::~--~::::~~::::::::-:::::: CITY CLERK FILE [EQ[QHL]Q] ~........ .. ~ 333 DIVISION STREET P L .A N TON. Box 2340 Dublin, CA 94568 Dear Diane, On behalf of the Nonprofit Management Services program of the Valley Volunteer Center, I would like to request continued use of the Regional Meeting Room as our Tri- Valley. workshop site. We would like to use the room for 21 workshops, 16 half day and 5 full day sessions, between September 1, 1994 and June 30, 1995. The workshops will be scheduled on a quarterly basis--September to December, January to March and April to June--with the actual dates selected approximately six weeks prior to the start of each series. The Valley Volunteer Center provides the only comprehensive nonprofit management training program in the Tri- Valley area. For the past eleven years we have offered workshops on all aspects of nonprofit management including volunteer management, supervision skills, financial accountability, boardsmanship and fundraising. The program attracts trainers from both the corporate and the nonprofit sectors, giving the attendees the most current information on sound business practices. The program continues to provide a service for the area agencies. Similar programs throughout the Bay Area have' noticed a sharp decrease in attendance during the past year. While we had to cancel several workshops for low attendance, overall the number of people attending the seminars has remained constant. We attribute this to accessibility of the training site, quality of trainers and the fact that we have been able to maintain the workshop fee structure for the nonprofit community. VALLEY VOLUNTEER CENTER ./W 'I/- . . The proposed merger between the Valley Volunteer Center and the V olunteer Centers of Alameda County is scheduled for Fall 1994, This merger will in no way affect the services currently provided for the Tri- Valley agencies by the Valley Volunteer Center. In fact, throughout this entire merger process it is understood that all of the services and programs offered by the Valley Volunteer Center for the Tri-Valley community will be maintained at the current levels or experience an increase. We truly appreciate the support the City of Dublin gives to this workshop program and we are proud to list the city as a major donor. We hope to continue this partnership to bring the best in nonprofit training to our local agencIes. Thank you for considering this request. Please contact me at 462-3570 if you need additional support materials. Sincerely, {Jj~ct!1;4~~ Christine Lafferty if Program Director Enclosure
