Committee Members RECOMMENDATION: . FINANCIAL STATEMENT: Funding for recognition events has been included in the 1998- 99 Budget. DESCRIPTION: In order to provide for a smooth transition following the November 3, 1998 election, Staff is requesting that the Council discuss and provide direction related to several items. 1) In keeping with past Council directio~ Staff would propose to schedule a special City Council meeting on Monday evening, November 30, 1998 at which time the current Council would certify the election results. Plaques would be presented to outgoing Councilmember(s) and the meeting would then adjourn to a cake & coffee reception. 2) Just prior to the regular Council meeting on Tuesday, December 1, 1998, a reception (with hors d'oeuvres & beverages) would be held from 6:00 p.m. to 7:00 p.m., to welcome and recognize the newly elected Council. At 7:00 p.m., the fIrst item of business would be to . ---------------------------------------------------------------------------------------------------------------- COPIES TO: ITEM NO. ~ administer the Oath of Office to the newly elected Council, followed by the selection of'3. Vice Mayor for a I-year period. The Mayor (with Council conflffilation) would then provide his list of Council appointments. The Council would then conduct its meeting and deal with regular agendized items of business. . 3) Staff will advertise openings on the various Commissions/Committees beginning in early November. Applicants should be given at least 3 weeks to respond. If a cut-off date of November 30t is established, applications could be distributed to the Council, and the Mayor could make his selections and the appointments agendized for the December 15th City Council meeting. This would provide for a smooth transition on the various Boards, with new members being sworn in and seated at the Board's January meeting. 4) As has been done in the past, retirement recognition events have been coordinated for outgoing Councilmembers. Staff would request that a date be selected for a sit-down dinner honoring outgoing Councilmember(s) tobe catered. at the Civic Center in the Regional Meeting Room. 5) A date should be established at which time the City recognizes outgoing Commission! Committee members. There are a total of 9 individuals whose terms expire on the Planning Commission, Parks & Community Services Commission, Heritage Center Advisory Committee and Senior Center Advisory Committee. Following the election in 1996, recognition of past Commission!Committee members was agendized at the fIrst meeting in February, 1997. The meeting was called to order, certifIcates and pens presented, and then adjourned to a short reception. The regular meeting then resmned. On one occasion in the past, recognition was combined with a reception held in March, that . also recognized nominees and winners of the Citizen and Organization of the Year.
