(Prepared By: Richard Ambrose, City Manager) 1) Amended Agreement with Vavrinek Trine Day & Co., LLP RECOMMENDATION: Authorize the City Manager to execute an amendment to the Agreement with Vavrinek Trine Day & Co., LLP for the provision of an Interim Administrative ServiCes Director and increase the contract by $49,000. FINANCIAL STATEMENT: There are sufficient funds included in the 1999~2000 Budget for this item. Total cost for amending and extending the above mentioned agreement will come from salary savings generated by the later than expected hiring of the newly hired Assistant City Manager/Administrative Services Director. DESCRIPTION: In May 1999, the City Council authorized the execution of an agreement totaling $36,000 for the provision of an Interim Administrative Services Director. For the past several months, these services have been provided by Joe Aguilar from Vavrinek Trine Day & Co., LLP. The use of these services has allowed the City's Administrative Services Department to keep up with its busy work schedule that included the year end closing, financial sofhvare conversion, annual audit and formation work on the Dublin Ranch Assessment District. The service agreement was amended in September 1999 by $5,400 with the anticipation that the recruitment for a new Assistant City Manager/Administrative Services Director would be completed by late October. Unfommately, the recruitment for a new Administrative Services Director has not been concluded and Staff is discussing the situation with the recruiting fn'm being used to complete the recruitment. The revised timeframe for completing the recruitment is targeted for April 2000. Joe Aguilar of Vavrinek Trine Day & Co. has indicated he would be able to continue to serve as Interim Administrative Services Director for this extended period. On the average, the Interim Director will be available three days a week. It is recommended that the contract for the interim Administrative Services Director be extended in order to keep several projects in profess, .including the Dublin Ranch Assessment District, on track for · completion. The Administrative Services Department will continue to realize salary savings sufficient to cover the cost of the Interim Director; therefore, no budget change is necessary for extending the agreement. COPIES TO: \XI)UBLINFS2XASxJoeX2nd Amend VTD Admin Services.doe ITE4~]~ AMENDMENT TO MANAGEMENT SERVICES AGREEMENT DATED NOVEMBER 2, 1999 THIS AMENDMENT is made at Dublin, California on November 2, 1999, by and between the CITY OF DUBLIN, a municipal corporation ("CITY"), and Vavrinek, Trine, Day & Co., LLP ("CONTRACTOR") who agree as follows: 1. COMPENSATION CONTRACTOR's fee for all services shall be $800 per day not to exceed a total amount of $90,400. Fees shall be due and payable within thirty days of receipt of semi-monthly invoices. CITY shall reimburse CONTRACTOR any direct expenses incurred in performance of this agreement, including but not limited to long-distance phone charges, copying, shipping and express delivery charges and any extraordinary transportation or travel expenses (i.e. other than between CONTRACTOR's place of business and Dublin.) Any such extraordinary automobile transportation shall be billed at the flat rate of 30 cents per mile. TERM The term of this agreement shall be through April 28, 2000, unless extended by mutual agreement of both parties.
