FINANCIAL STATEMENT: One bid was received from Air Exchange, Inc., in the amount of $34,549.30. The budget for this project is $30,000. Allowing for a 10% contingency to cover the cost of advertising, construction administration, inspection, and unforeseen conditions, Staff recommends approval of an additional appropriation in the amount of $8,000, increasing the total project budget to $38,000. DESCRIPTION: On November 17, 1998, the City Council authorized solicitation of bids for Contract 98-15, Fire Station Exhaust Extraction System. The proposed system involves use of pneumatic hoses that are connected directly to the fire apparatus exhaust pipes. The pneumatic fittings disconnect automatically when the apparatus leaves the station so that no time is spent disconnecting the hoses when an emergency call is received. This system eliminates exposure to the diesel exhaust and fulfills the OSHA requkements. One bid was received~from Ak Exchange, Inc., in the amount of $34,549.30. Ak Exchange is the only authorized installer in Northern California for the recommended system. This company has installed systems for Alameda County Fire, the joint Livermore/Pleasanton fire district, the San Ramon Valley Fire Protection District, and many others in Northern California. 'The original proposal that was given to Alameda County Fire by Air Exchange was just under $30,000, and budgeting was based on that original proposal. Ak Exchange indicated that the bid is $4,500 higher than the original proposal due to the cost of obtaining required bonding and paying prevailing wage. Staff expects to incur additional costs for construction administration, and inspection, and is recommending that the original budget be increased by $8,000. Staffrecommends that the City Council approve an additional appropriation in the amount of $8,000 and adopt the resolution awarding Contract 98-15 to Air Exchange, Inc. Mayor: Date: Signature Posted By: Signature Date: RESOLUTION NO. -98 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF DUBLIN AWARDING CONTRACT 95-15 FIRE STATION EXHAUST EXTRACTION SYSTEM TO AIR EXCHANGE, INC. WHEREAS, the City of Dublin did, on December 3, 1998, publicly open, examine, and declare all sealed bids for doing the work described in the approved Plans, Specifications, and Modifications for Contract 98-15, Fire Station Exhaust Extraction System, authorized by the City Council on November 17, 1998, which Plans, Specifications, and Modifications are hereby expressly referred to for a description of said work and for all particulars relative to the proceedings under the request for bids; and WHEREAS, said bids were submitted to the City Engineer, who has recommended that the bid hereinafter mentioned is the lowest and best bid for doing said work. NOW, THEREFORE, BE IT RESOLVED that the City Council of the City of Dublin does hereby award City of Dublin Contract 98-15 to the lowest responsible bidder therefor, to wit Air Exchange, Inc., with a bid of Thirty-Four Thousand Five Hundred Forty Nine Dollars and Thirty Cents ($34,549.30), the particulars of which bid are on file in the Office of the City Engineer.
