CITY CLERK File # D[t]~~-[f]~ AGENDA STATEMENT CITY COUNCIL MEETING DATE: December 15, 1998 SUBJECT: Dedication of Community Gymnasium at Valley High School Report by Diane Lowart, Parks & Community Services Director ATTACHMENTS: None RECOMMENDATION: J.1lKt Provide appropriate direction to Staff concerning the date and ~ ,I r . program for the gym dedication FINANCIAL STATEMENT: Not determined at this time DESCRIPTION: Construction of the Community Gymnasium at Valley High School is nearing completion. Staff anticipates that access to the gym will begin on January 4, 1999, at which time the first public use is scheduled. As has been done with other community facilities, Staff recommends that a dedication ceremony/grand opening be held to introduce the new gymnasium to the community. However, due to the immediate need to begin utilization of the gym for City and community programs, combined with the Christmas and New Years holidays the two weeks prior to the opening of . the gym, it will not be possible to have the dedication of the new gym before it has been open to the public. At the December 7, 1998 meeting of the Parks and Community Services Commission, the Commission reviewed the following preliminary ideas for the dedication that were developed by Staff. First, Staff recommended that the dedication of the gymnasium begin with a traditional dedication ceremony followed by entertainment and activities. The dedication ceremony could include: . Presentation of Colors . Welcome and Opening Remarks by Mayor and Board President . Recognition of Special Guests . Unveiling of Plaque . Ribbon Cutting Entertainment and activities could include: . Basketball Challenge Game between City and District - this could include City Council and School Board Members and/or members of the Parks and Community Services Commission and City/District Staff . Basketball Shooting Challenge between City Council and School Board Members . It was the Commission's suggestion that in order to draw more people to the dedication of the gymnasium, the dedication should be held in conjunction with a Dublin High School Girl's Basketball Game.. The dedication ceremony could be held between the Junior Varsity and Varsity Games and activities could be held during half-time of both games. They suggested that the activities include a 5 to 10 minute basketball exhibition game featuring teams from the City Youth Basketball program as well as a "knock-out" contest. They also suggested that time be set aside where those in attendance could go onto the court to dribble a basketball and/or shoot baskets. Commissioner Chapman indicated that he may be able to secure the services of a local sports commentator to serve as a master of ceremonies for the dedication. If the City Council was interested in pursuing this avenue, it would be necessary to immediately contact the Dublin High School Basketball Coaches and Athletic Director to determine their interest in such an arrangement. Possible game dates that were identified by the Commission are January 26 or February 12. If the City Council would prefer that the dedication of the gymnasium be independent from another activity, Staffwould suggest that the dedication be held either on a Saturday, Sunday or weekday evening. The gym will be used on Saturdays by the City's Youth Basketball program and on Sundays by the CYO Basketball program. However, the schedule could be arranged to allow a one to two hour break between . games for the dedication ceremonies. Weekday evenings the gym will be used for the City's Youth Basketball program. Again, the schedule could modified to allow for the dedication. City and School District Staff have been working on the procurement of a plaque to commemorate the joint partnership between the City and the District. The idea being that the plaque would be unveiled at the dedication ceremony. At this time, Staff does not anticipate that the plaque will be fabricated and delivered until the second week of February. Consequently, this may be a factor in the determination ofa date for the dedication. In order to move forward with the planning for the dedication and grand opening of the Community Gymnasium at Valley High School, Staff requests direction from the City Council on the preferred date .for the dedication as well as 0-e program for the dedication ceremony. . -2-
