FINANCIAL STATEMENT: Sufficient funds are available in the Fiscal Year 2000-01 Internal Service Fund Budget for the purchase of the copier. DESCRIPTION: The Fiscal Year 2000-01 Budget includes funds to replace the Konica 6190 located in the Civic Center. This machine was originally purchased in April 1995, has produced over 3.7 million copies and has exceeded its useful life. In addition, City staff has experienced a significant-amount of downtime with this copier during the last twelve months. Bid packages were provided to six copy machine dealers. The notice inviting bids was also posted as required by the City's purchasing ordinance. Two bids were received by the deadline of 10:00 a.m. on August 4, 2000, as noted below. Name of Bidder Amount of Bid Astro Business Products $22,587 Caltronics Business Systems $23,483 The amount budgeted for replacement of the Konica 6190 with a Konica 7075 in Fiscal Year 2000-01 was $27,215. Based upon the bids received, the 75 Copy per minute machine, including options for a large capacity tray and a stapling finisher unit, can be obtained without exceeding the funds budgeted. The Konica 7075 is based upon digital technology, which results in much less wear on its moving parts and thus means that the City should experience significantly less downtime with this replacement copier. All bidders were requested to provide, as part of their bid, a Trade-in Allowance if any for the existing machines. Caltr0nics did not provide for a trade in allowance, while Astro Business Products provided for a trade in allowance of $1,350. Considering the age and usage of the City's Konica 6190 copier, this appears to be a reasonable amount. Staff will dispose of the current machine in accordance with the existing City policy. RECOMMENDATION Staff recommends that the City Council award the bid for a Konica Model 7075 copier to Astro Business Products. Staff will issue the necessary Purchase Order and proceed with the disposal of the surplus equipment in accordance with City policies.
