HomeMy WebLinkAboutItem 4.07 Civic Ctr Generator STAFF REPORT CITY CLERK File #600-35 CITY COUNCIL DATE:October 16, 2012 TO: Honorable Mayor and City Councilmembers FROM: Joni Pattillo, City Manager SUBJECT: Acceptance of Work – Contract No. 11-13, Civic Center Generator Equipment Pre-Purchase and Contract No. 12-04, Civic Center Generator Installation Prepared by Steven Yee, Public Works Manager EXECUTIVE SUMMARY: The Civic Center Generator Project (CIP No. 930008) replaced the existing Civic Center emergency generator with a larger unit capable of powering the entire Civic Center site. FINANCIAL IMPACT: The adopted Fiscal Year 2011-2012 Budget included $610,100 in funding for the Civic Center Generator Project. The total project budget included $33,000 for project design, $2,100 for miscellaneous fees and $575,000 for improvements. The project is funded by General Fund ($464,505) and the Internal Service Fund (ISF) ($145,595). The CIP project involved two separate contracts. First, the total equipment cost (new generator) under Contract No. 11-13 is $159,252. The estimated actual cost for improvements under Contract No. 12-04 is $246,504. The total cost for the new generator equipment and installation is $405,756. Budget For Actual Funding Source Improvements Costs Internal Service Fund (#6201) $145,595 General Fund (#1001) $429,405 TOTAL IMPROVEMENTS: $575,000 $405,756 RECOMMENDATION: Staff recommends that the City Council accept the improvements under Contract No. 11-13, Civic Center Generator Equipment Pre-Purchase and Contract No. 12-04, Civic Center Generator Installation, and release retention after 35 days if there are no subcontractor claims. ITEM NO. 4.7 Page 1 of 2 Submitted By Reviewed By Director of Public Works Assistant City Manager DESCRIPTION: On February 7, 2012, the City Council awarded Contract No. 11-13, Civic Center Generator Equipment Pre-Purchase, to West Star Environmental Services, Inc. On April 3, 2012, the City Council awarded Contract No. 12-04, Civic Center Generator Installation, to ERA Construction Inc. The Civic Center Generator Project replaced the existing Civic Center emergency generator with a larger unit capable of powering the entire Civic Center site. Due to the extensive lead time in ordering and delivering an emergency generator, Contract No. 11-13 pre-purchased the generator equipment 3 months in advance of the scheduled installation work. ERS Construction (Contract No. 12-04) installed the new generator, associated equipment as well as modified the existing enclosure to accommodate the larger generator. The improvements are complete and the generator is in service to provide emergency power to the Civic Center site in the event of a power failure.
