Foss, City Manager " Authorization to Purchase Site Furnishings and Equipment for the Dublin Sports Grounds Renovation Project (CIP No. pk0416) Prepared by Meghan Tiernan, Facilities Development Manager EXECUTIVE SUMMARY: The City Council will consider the purchase of site furnishings and equipment for the Dublin Sports Grounds Renovation Project (CIP No. PK0416). The City received grant funding in the amount of $432,500 from the State of California for the Housing Related Parks Program Grant and these funds must be expended by June 30, 2016. FINANCIAL IMPACT: Funds have been allocated in the existing Project budget to cover the cost of the purchases. The funding source is the Housing Related Parks Program Grant. RECOMMENDATION: Staff recommends that the City Council authorize the purchase of site furnishings and equipment for the Dublin Sports Grounds Renovation Project (CIP No. PK0416). �tu'bmitiebl By Public Works Director DESCRIPTION: \ Reviewed By Assistant City Manager The City applied for and was awarded grant funding in the amount of $432,500 from the State of California's Housing Related Parks Program. Staff has identified site furnishings and maintenance equipment to be purchased with the grant funds for the Dublin Sports Grounds Renovation Project (CIP No. PK0416). The site furnishings will be installed in a small phase 1 project with construction anticipated to begin in Fiscal Year 2016/17. Site furnishings include three prefabricated score booths, six dugout shade structures, picnic tables, trash and recycling containers and accessible water fountains. Maintenance equipment will increase efficiency, improve the conditions of the existing fields, and help maintain the City's investment in the future park improvements. Proposed maintenance Page 1 of 2 ITEM NO. 4.7 equipment includes an infield groomer, a tractor and attachments, and two utility vehicles (Gators). On May 3, 2106, the City Council approved a Task Order with RRM Design Group for the development of the renovation master plan for the Dublin Sports Grounds and the related construction documents. A portion of those fees covered by this grant are including below, along with the furnishings and equipment costs. It should be noted that these funds expire on June 30, 2016 unless expended. Proposed grant expenditures: Consultant fees $29,847 Site furnishings $248,795 Maintenance equipment $153,858 Total Expenditures $432,500 A detailed list of grant expenditures is attached as Exhibit A.
